Getting the sequence structure right is straightforward. Most publishers get it wrong by under-communicating before the event and over-promoting after it.

Pre-Webinar: The Four-Week Window

Four weeks before: the registration email. Topic, value promise, date, time, and the specific reason to register now rather than later. One clear call to action.

Two weeks before: a value-delivery email to registrants that increases their investment in showing up. Share one insight from the webinar content. The registrant who has already received value is more likely to attend than one who has only received a confirmation.

Three days before: a logistics email. The link, the time in multiple time zones, what to prepare if anything. Make attendance frictionless.

Day before: a reminder email with one specific reason to attend live rather than wait for a replay. "Questions asked live during the session get answered; replay viewers can't participate."

Day-Of: The Three Emails

Morning (if the webinar is in the afternoon): "Today is the day." Short, direct, enthusiastic. The link. No other content.

One hour before: the link again. Start on time indicator. Mobile viewing instructions if relevant.

After the webinar ends (for non-attendees): "You missed it — but you can still [specific action]." If a replay is available, the link. If the offer was time-limited, the honest statement of what is still available.

Post-Webinar: The Five-Day Sequence

Day 1 for attendees: the replay link, a summary of the key insights, and the offer — with the same deadline as was stated in the webinar.

Day 2: a case study or testimonial specifically addressing the most common objection heard during the live Q&A.

Day 3: an objection-handling email addressing the second and third most common objections.

Day 4: a personal email from the presenter to the remaining unconverted attendees — why this is specifically for them, and what they will be able to do with it.

Day 5 (deadline day): two emails. Morning: final reminder, clear deadline, reason to act today. Evening: two hours before close, the final push.

For Non-Buyers

After the deadline: one email acknowledging the close, with a non-promotional piece of content that maintains the relationship. The non-buyer today should remain a subscriber for the next opportunity.

The webinar email sequence is a structured communication programme, not a series of individual emails. Each email serves a specific function in the overall conversion arc.
